Training your Employees

Training your Employees – Choosing the most appropriate method for your Organisation

Training doesn’t have to be limited to attending standard training courses – there are alternative or additional options to enhance your learning which may be better suited to your organisation or individuals’ needs.

Ensuring your users are trained to the right level is key to the effective implementation and use of any database and perhaps more so in the case of sensitive and confidential HR information where accuracy is vital. Sadly, training is all too often subject to shortcuts and under funding. However with the range of training options you can try, there is sure to be an alternative.

Training Workshops – Customised to cover the specific topics that you require assistance with, these sessions usually follow on from attendance on standard courses. A range of selected topics, perhaps those that were not completely understood or have been subsequently forgotten, can be covered over the day and attended by those individuals requiring assistance in those specific areas.

Floor Walking – Post implementation training, an extremely beneficial option is to opt for floor walking sessions. A trainer can come visit users at their desks to ensure that they are putting the training into practice and that they have understood how the procedures learned can be applied to the processes within your own environment.

Letter Templates – One of the most time-saving features of typical HR Software Systems is the ability to create a number of letter templates to fit your standard correspondence. By doing so, generation of letters and emails to employees becomes a relatively quick and easy task and facilitates document storage and subsequent retrieval. Time invested in setting these up is time well spent but often a helping hand in selecting fields and layout overcomes the initial hurdles that may be encountered.

Customised Training – Has your HR System been customised to meet organisation specific requirements? If so then why not consider tailored a course to match your system? Specific examples and scenarios can be created to match and accommodate the customised areas of your product and processes, ensuring your users are being trained on the product as they will be using it for real.

Competency Profiles – There are a number of recommended competency profiles with training programmes to match which can help in your selection of training. Matching the profile to your users and your expectations of their system usage, will determine which of the training courses they should attend and thereby ensure they are well equipped to perform their role.

“Your Premises or Ours” – it may not always be possible to mix off site course attendance with office and home commitments and requirements, and often if there are several people requiring training it may be more economical to organise training to take place at your own offices. Computers In Personnel, for example, has a list of the training room requirements, so why not see if this would be a practicable solution for you?

Training Needs Analysis – If you aren’t sure what your users need to know, you may need help developing a training programme to suit the organisation and individual needs. Training consultants can be used to meet, discuss and agree with you the best course of action to take.

Closed or Open Courses – There are benefits to both options. Closed courses mean that you have the ability to personalise the training, to make it more relevant to your environment and to discuss specific issues you may be facing or need to address. Open provides a more diverse forum; ideas are often stimulated from the conversations and experiences of others and may provide alternative solutions to those you have already considered.
